To manage provisional projects in Vanillaplan, we start by creating a new department in the master data. Name it for example Provisional projects. Next comes the creation of a phase called for example Prov. assembly; assign this to the department you have just created. If you want to go one step further, you can create a provisional version for each of your departments, for example Prov. projects office, Prov. projects execution and Prov. projects workshop, and then assign the various provisional phases to these departments. For simplicity we will only cover one phase and one department in the rest of the article (and in the video), but the procedure for several phases and departments is identical.
Once our department and our phase have been created, the provisional phase can be selected instead of the actual one when recording new projects. If you now go into capacity planning, you can select or deselect the Provisional projects department in order to show or hide the provisional projects. At the same time this also makes the effect of the projects on company utilisation visible in the bar chart.
If provisional projects are later realised, the projects can be edited and the data simply transferred to the «real» phase.
